Payroll data is some of the most sensitive data a company holds. These are the commitments we make on every project, before any data is shared.

OUR COMMITMENTS

Eight rules we never break.

  1. 01A signed data agreement firstWe sign a data processing agreement with you before any personal data is shared. You stay in control of your data.
  2. 02As little personal data as possibleWherever we can, we work from reports that use employee numbers instead of names, with no bank or contact details.
  3. 03Business-grade AI onlyWe only use AI tools on business or enterprise plans whose terms say your data is not used to train their models. Free consumer AI tools are never used with client data.
  4. 04Or inside your own toolsIf you prefer, we work entirely inside your company's own systems and AI tools, such as your Microsoft 365 Copilot, so data never leaves your environment.
  5. 05Secure handlingFiles are shared through secure, encrypted links, stored encrypted, and protected by two-step sign-in. Only the people on your project can open them.
  6. 06Deleted when we're doneYour payroll data is deleted within 30 days of the end of a project, unless you ask us in writing to keep it.
  7. 07People make every decisionAI flags and drafts. A payroll specialist reviews and signs off every result. AI never approves a payment or files a return.
  8. 08Your choice, every timeWe tell you which tools we'll use before we start. Prefer no AI? Every service can be delivered without it.

Questions we're often asked.

Where is our data processed?

We agree this with you before the project starts, including the region of any AI tool. If your policy requires data to stay in your own systems, we work inside them.

Can we see your data processing agreement before we sign?

Yes. We'll send it with your proposal, and we're happy to sign your own version instead.

Will you sign our NDA?

Yes, before any detailed information is shared.

Do you need access to our payroll system?

Usually not. Most work runs on the standard reports your system already produces.

What happens if there's a data incident?

We tell you without delay, and in any case within 24 hours of becoming aware of it, so you can meet your own reporting duties.
